Purpose of the job

  • Under limited supervision, coordinates efforts for Marketing's budget, vendor and contract management and vendor purchase agreements and invoicing.

    • 2 years of experience working with spreadsheet and word processing technology (e.g. Excel, Word)

    • 4 years of experience with budget planning and managing
    • 2 years of experience managing mid to large projects

  • Assists marketing management with budget management, reforecasting including YTD variances, projections and entry into Hyperion.
  • Generate and analyze Purchase Orders and communicates variances to projects owners.
  • Obtains approval and processes invoices for all marketing vendor invoices.
  • Reconcile monthly actuals and researches any discrepancies. .
  • Track all Marketing contracts and agreements to protect company assets and stay within acceptable risk.
  • Keep management informed at all times of issues and concerns.
  • Maintain relationships with suppliers and vendors.
  • Invoice and contract tracking
  • Coordinate scheduling meetings for budget cycle
  • Research issues with invoices and budget as needed
  • Department expert on finance and contract related policies and procedures
  • Contract submission to Legal via SharePoint
  • Inform marketing management when contract expiration dates are coming
  • Coordinate new marketing vendor set up with Finance
  • Track and file annual certificate of insurance for all vendor contracts
  • Coordinate team's review of external required reports (DOI, Assoc., etc.) for Corporate Integrity
  • Coordinate team's review of vendor management program URAC Vendors
  • Back-up department's administrative assistant with scheduling meetings, catering orders and timecards
  • The position requires a full-time work schedule. Full-time is defined as working at least 40 hours per week, plus any additional hours as requested or as needed to meet business requirements.
